Tours Terms and Conditions
We want you to have an enjoyable and successful tour and therefore ask that you read the booking Terms & Conditions and information as laid out on this page. We believe that the contract made between WP Events (the Company) and your organisation (the Client/Tour Group) should be clear and concise. There are basic responsibilities on both sides and the information below protects both parties from any misunderstanding. The person signing the Booking form warrants that he/she has the authority of all other persons contained within this contract to make booking on their behalf.
YOUR COMMITMENT TO US
- ACCEPTANCE OF THE TOUR COST
Following your initial Quotation; once you have confirmed you are happy with our proposal, and at least 12 weeks prior to your anticipated departure date, you will receive an Invoice for the total cost of the Tour. This Invoice will include a detailed breakdown of all the arrangements included in the tour. On receipt of this invoice you will need to send the agreed deposit to us. In addition, the invoice will give a schedule of further payments, culminating in a final payment, to be received by us not less than 4 weeks prior to your departure date. It is very important to ensure that your final payment reaches us on time in order for us to ensure all your requirements are in place. - PAYMENT OF THE DEPOSIT
This is the Tour Group commitment to the booking, and is normally around 20% of the total cost quoted. This secures all the initial arrangements, flights/and or transport. This deposit is non-refundable in the event of cancellation of the Tour. - ALTERATION OR CANCELLATION
If you wish to alter or cancel your booking you may do so, however, as your tour arrangements will have been proceeded with, it is necessary for us to make certain charges as follows:
Cancellation or part cancellation (e.g. member of party cancels) notified:
- Cancellation at any time after confirmation of booking and our receipt of deposit……… Loss of deposit
- Less than 6 weeks prior to date of departure……… 45% of tour cost
- Less than 4 weeks prior to date of departure……… 60% of tour cost
- Less than 3 weeks prior to date of departure ………100% of tour cost
A change of name is acceptable over 3 weeks prior to departure with extra cost.
A complete change of travel arrangements shall be deemed to constitute a cancellation.
If you need to cancel your tour the person who signed the booking form must notify us, in writing. Cancellations are only accepted on the date of receipt at our office. - TOUR AND TRAVEL INSURANCE
We appreciate that many clubs and organisations are unsure what travel insurance is suitable for touring abroad. Exclusive to WP Events, special group rates are available or personal and medical insurance (including sports) Premiums on request - PASSPORTS AND VISAS
All Tour Group travellers must hold valid passport, and travel documents, including Visas (where appropriate) and are responsible for obtaining these documents before travelling. WP Events cannot be held responsible for any travellers refused entry to their country of destination.
OUR COMMITMENT TO YOU
- On receipt of your booking form and deposit we will allocate your chosen tour to you. We will then send an official receipt. This is acceptance of the booking in accordance with this contract.
- WP Events does not deny liability which may rise from proven negligence by any person employed directly by us but, we cannot accept liability on behalf of any person not employed by the Company over whom we have no control, but who may be involved with the planning and provision of your tour. The Company however, takes all reasonable steps to ensure that hotels, transport companies etc maintain standards and that they conform to the laws of the county within which they are operating. The Company shall be willing to help resolve any disputes which may arise between you and any company or individual who is not our employee or agent.
- CHANGES
The arrangements for tours are made many months in advance. However, whilst it is unlikely that we will make any changes, sometimes changes are necessary and we reserve the right in our absolute discretion to do so. Most of the changes would be minor, for instance departure times or accommodation facilities may be altered. When they affect your tour we will do our best to let you know before departure. If a major change becomes necessary we will, subject to timescale, inform you before departure and you will then have the choice of accepting the changed arrangements. - IMPORTANT NOTE
The Company does not accept responsibility for cancellation or changes to tours caused by war, riots, civil strife, terrorist activities, industrial disputes, natural disasters, fire, technical problems to transport, closure to ports, adverse weather conditions, road closure, new legislation and similar events beyond our control or of a force of nature. - HOTEL AND SERVICE CONDITIONS
Please note that we do not own the hotels, apartments, aircraft or coaches we operate and there fore all contracts entered into by us on your behalf for the provision of travel, accommodation and other services are subject to any conditions imposed by the companies, firms, or persons providing those services. You should note that such conditions may include clauses excepting such persons from liability for injury,
Loss or damage to person or property. We cannot of course accept responsibility for delays or the provision of alterations of service, which are not under our control. - DAMAGE AND BEHAVIOR OF CLIENTS
Group leaders shall be held responsible for the Tour Group members’ behaviour and WP Events shall be entitled to recover from the Client the cost (including the cost of repairs executed to WP Events satisfaction) of any damages or loss caused by the Client.
The Client undertakes to behave with propriety and in such a manner as in no way to harm the
Reputation of WP Events or the owners of any of its accommodation or its suppliers or the other clients of WP Events or persons. The tour of any Client in breach of this clause shall be terminated forthwith and WP Events shall have no further contractual obligations towards the person/s. - YOUR FIXTURES
WP Events, through its local representatives, endeavour to arrange games between competitors of a similar level of skill and age, but this may not always be possible. Whilst reasonable efforts will be made to arrange the advertised facilities WP Events cannot be held liable for cancellation of any activity due to forces outside its control.
The right is reserved to cancel any activity, if, on the opinion of the local authority, the weather conditions, or any other factor, make play or the scheduled activity dangerous or damages to any person or thing and no liability can be attached to WP Events for any loss, disappointment or other cause resulting from the cancellation, save the refund of any fee charges specifically for the activity. A similar provision will apply in the event of a previously booked match pitch being withdrawn by its owners or other authorised person and no suitable replacement being found. - The Company reserve the right to cancel or terminate the tour where: a Tour Group member has failed to disclose all the material facts that are required by the booking form and booking conditions. An applicant or person under their control whose unreasonable conduct by which impairs the comfort or enjoyment of others. Persons other than the named applicants and unauthorised persons will be deemed to be trespassers and any monies paid will be forfeited.
- A currency surcharge could be levied should the rate of any currency used in the initial costing of the tour package differ against the pound sterling on the day the final invoice is rendered.
- All costs are inclusive of VAT at standard rate (currently 15%) calculated under the tour operator’s margin scheme. If the government alter the rate the company reserve the right to adjust the tariff accordingly.
- The company will endeavour to provide all the facilities contained in the brochure or elsewhere but reserve the right to make changes to those facilities. All information has been compiled from the most accurate information at the time of going to press.
